Operations Coordinator
As an Operations Coordinator, you will play a critical role in supporting our Operations Manager and PMO by ensuring the right technicians—with the right skills—are scheduled on the right projects at the right time. You will maintain an up‑to‑date technician skills matrix, coordinate closely with the Operations Manager and PMO, and help forecast labor needs based on sales pipelines and project schedules. This role requires someone who thrives in a fast‑paced environment, stays organized under pressure, and can pivot quickly when priorities shift.
RESPONSIBILITIES:
- Work collaboratively and proactively with Operations, PMO, Sales, and Field teams.
- Uphold company policies, procedures, and safety expectations in all planning activities.
- Communicate clearly, promptly, and respectfully across departments to support smooth operations.
- Maintain confidentiality of employee information, project details, and operational data.
- Support a positive, solutions‑focused culture across the organization.
- Maintain and continuously update the technician skills matrix, including certifications, training records, and competency levels.
- Work closely with the Operations Manager and PMO to schedule technicians for Security, Data, and Audio-Visual (AV) projects.
- Adjust schedules quickly and effectively in response to last‑minute changes, delays, or staffing needs.
- Review project schedule forecasting to anticipate labor requirements for current and upcoming projects.
- Identify potential labor shortages, skill gaps, or scheduling conflicts and escalate them to Operations leadership.
- Ensure technicians are fully utilized while balancing workload, skill development, and project priorities.
- Track technician availability, vacation requests, sick time, and other scheduling variables.
- Maintain accurate and organized scheduling documentation within company systems.
- Collaborate with Operations leadership to support technician development planning and training opportunities.
- Provide regular reporting on technician utilization, scheduling trends, and resource allocation.
- Support continuous improvement of scheduling processes, tools, and communication workflows.
- Represent the company professionally in all interactions with internal teams and external partners.
- Maintain and protect assigned company assets, including digital records and scheduling tools.
REQUIRED QUALIFICATIONS:
- 2 – 4 years of experience in workforce planning, scheduling, coordination, or operations support within construction, technology integration, or trades‑based environments
- Strong organizational skills with the ability to manage multiple priorities and adapt quickly to changing conditions.
- Proficiency with scheduling tools, spreadsheets, and shared digital platforms
- Excellent communication skills with the ability to collaborate across multiple departments.
- High attention to detail and accuracy in documentation and data management.
- Demonstrated ability to work in a fast‑paced environment with tight timelines and frequent adjustments.
- Proficient with the Microsoft Suite
PREFERRED QUALIFICATIONS:
- Bachelor’s degree in business or technical field
- Experience with Dynamics 365
- Ability to understand technician skill sets, training requirements, and project needs within Security, Data, and AV disciplines.

Pay: $55,000 - $75,000 (DOE)
